Job Summary

The Office Specialist fields telephone calls for the Fort Walton Beach office location. The office specialist ensures all standard office supplies are in stock in the Fort Walton Beach, Panama City, and Crestview office locations. The office specialist also ensures proper records retention, storage, and disposal along with the office administrator. This position identifies and shares relevant content to add to any publications and/or press releases to media partners and stakeholders. This position coordinates training programs for the Fort Walton Beach, Panama City, and Crestview office locations ensuring the training spaces are reserved, any workshop materials are ready, attendees are reminded, and coordinating with training partners to publicize and support the event. This position is the first point-of-contact for the public and therefore is the welcoming ambassador for the SBDC while assisting with daily client intake process for the region. The office specialist sends intake correspondence to clients and allocates clients to the appropriate consultants in accordance with SBDC policy.
The office specialist will serve as a backup to enter our training session information and attendance into our MIS system. This position accepts and processes cash payments for training sessions in accordance with Florida SBDC and UWF Cash Collections and Transmittal Policy.
This position retrieves and sorts incoming mail and processes outgoing mail. The office specialist prepares for logistics related to office closures such as holidays, training or special events. Such preparations include changing the main line phone greeting and suspending mail and paper delivery. This position ensures proper housekeeping and organization of the public spaces such as the foyer area, conference room, kitchen area, and storage areas. The office specialists reviews area publications for articles involving the SBDC, our clients, and/or area partners. This position posts our events on UWF publications.

Minimum Qualifications

A high school diploma and two years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications

The office specialist must have a polite and courteous phone manner. This position must have knowledge of SBDC and UWF functions and activities. The office specialist must be proficient and accurate in the use of proprietary MIS system, Microsoft Office Suite, including Outlook, Excel, Word, Access, and Publisher and basic math computations. This position must have familiarity with search engines for research. The office specialist must have excellent customer service skills and good attendance.
